    Rent Collection Best Practices That Eliminate Chasing

    Chasing rent is the most common and most preventable frustration in rental ownership. If you are sending reminder texts, making phone calls, or knocking on doors to collect rent, you do not have a collection problem. You have a systems problem.

    Set Up Automatic Payments

    The late fee is not a punishment. It is an incentive structure. When the cost of being late exceeds the inconvenience of paying on time, tenants pay on time.

    The Exception Protocol

    Life happens. A tenant loses their job. A medical emergency creates a temporary hardship. How you handle exceptions defines your operation.

    Rule 1: The tenant must communicate before rent is due, not after. Rule 2: Any payment arrangement is in writing with specific dates and amounts. Rule 3: The arrangement includes a clear consequence for non-compliance. Rule 4: One arrangement per year, maximum. Repeat requests signal a deeper problem.

    Tracking and Reporting

    Track payment patterns. A tenant who pays on the 4th every month is not late (if you have a grace period), but they are cutting it close. A tenant who was always on the 1st and starts paying on the 5th may be signaling financial stress. These patterns are easier to spot with a portal than with manual tracking.
